August is a busy tourist season in Potsdam and on top of that the Royal Palaces by Night (Potsdamer Schlössernacht), a big event drawing visitors from around Germany and not only, is taking place immediately before the conference. It is therefore strongly recommended to arrange a room as early as possible. Better to reserve now and cancel later, should a need arise. Some hotels are already booked out. Note that a few hotels still offer special deals which include tickets to the "Royal Palaces by Night" with the room, so you may consider coming a couple days earlier to experience this event. Tickets for this event are otherwise sold out since December. If you plan to arrive after 18:00, you should indicate "late arrival" on your reservation. The room reservations are otherwise automatically cancelled at 18 o'clock. In order to guarantee your reservation for late arrival, most hotels will ask you to provide credit card details (it is not common in Germany to require card details otherwise). Most hotels charge no cancellation fee if the cancellation is done ahead of time, but if you cancel within a day of scheduled arrival, hotels may charge you for one night. Most hotels include a breakfast buffet in the price. In many hotels, children up to 14 or 15 years old can stay for free with parents, although some hotels restrict that to one child per room. Many hotels allow guests to bring dogs, some with restrictions, but all of them charge a per night fee. The hotel rooms are typically available on the day of arrival from 15:00 and check-out time is usually 11:00.
